What is a Workflow & How Does It Work in Icegram Express?

Build automated marketing workflows, event triggers, and automated actions in Icegram Express.

A Workflow in Icegram Express allows you to automate repetitive subscriber management and email communication tasks. Instead of manually exporting and importing contacts or sending individual emails, workflows listen for site events and execute automated actions instantly.

Key Concepts of a Workflow

  • Trigger: The specific event that initiates the workflow (e.g., a customer places a WooCommerce order, a visitor submits a contact form, or a new user registers).
  • Rules / Conditions: Optional criteria that filter which events should proceed (e.g., only execute if user role is “Subscriber” or order total exceeds $50).
  • Action: The automated response executed when the trigger fires (e.g., add to a mailing list, send a personalized email, unsubscribe, or delete a contact).
  • Status: Toggle between Active and Inactive to pause or run your automation.

Step-by-Step Example: Add Contacts via Form Submissions

Here is how to create a workflow that automatically subscribes users to a specific email list whenever they submit a form via WPForms:

  1. In your WordPress admin, go to Icegram Express > Workflows and click Add New.

Add new workflow button in Icegram Express dashboard

  2. Enter a descriptive title (e.g., “Subscribe WPForms Submissions to Newsletter”).

    Enter workflow title

  3. Under Trigger, select WPForms - New Form Entry.

Select WPForms submission trigger in workflow builder

  4. Click Add Action and select Add to List. Choose the target subscriber list.

Add action to insert contact into subscriber list

  5. Set the status to Active and click Save.

Save active workflow in WordPress dashboard

You can chain multiple actions together in a single workflow—for example, adding the contact to a list and sending an immediate welcome email.
